The holidays sneak up fast in the Bay Area, and before you know it, school breaks, travel plans, and long weekends start stacking up. For families who rely on a nanny, November through January can be one of the most critical times of year to plan ahead. Ensuring you have a clear holiday schedule with your nanny early helps everyone feel supported, respected, and aligned. This creates fewer surprises and a much smoother season for both you and your nanny.

By the end of this guide, you will know exactly how to sit down with your nanny, map out the next two months, and create a plan that honors both your family’s needs and your nanny’s time. From Thanksgiving to New Year’s Day, this is your chance to set expectations early and keep the holidays calm, clear, and happy for everyone involved.

Introduction

Holiday weeks can change everything about a family’s rhythm. We work all year to keep our busy routines in order and adjust as things change, but there’s a two-month stretch at the end of the year that loves to ruffle even the smoothest rhythm’s feathers. The holidays… duh duh dun! These festive weeks can absolutely shift everything around the home, from your work schedule and school drop-offs to sleep routines and mealtimes. Routines that once felt predictable suddenly feel out of sorts and unpredictable, especially when children thrive on consistency. Another rhythm that needs attention is your nanny’s schedule during this time of year. The holidays can bring up important questions about time off, pay, travel, and how expectations will be maintained while everyone’s routines are ruffled up.

The truth is, even the most settled routines can feel strained when the season arrives. The best way to avoid that strain is to make a plan. The most effective plan is one that includes your entire team, including your nanny.  Taking the time to sit down together to talk through the season ahead.

Take a look at the calendar. Christmas Eve falls on a Wednesday, Christmas Day on Thursday, and New Year’s just a week later this year. What does that mean for your family’s support? Will you be working those surrounding days? Do you need your nanny available before or after, or are they hoping to take extended time off? Asking these questions now allows everyone to move forward with confidence and clarity, ready for a smooth and joyful holiday season.

Here's some tips how to acheive maintaining those smooth feathers.

Why Planning Ahead Matters

The holiday season brings excitement, delicious treats, and special family moments, but it also brings a lot of stress and change for many families. For your nanny, that stress can feel even heavier. They are not only managing their own families and holiday commitments, but they are also helping to manage yours. It can be a lot to juggle.

When you plan early, you remove the guesswork and give your nanny time and space to prepare for both work and personal life. At The Nanny Tribe, we remind families and nannies that work-life balance matters for everyone. We would never pair a nanny who cannot maintain that balance with a family, so respecting your nanny’s boundaries during a busy season is key to keeping things healthy and sustainable.

The only way to achieve this is through communication. Clear, honest conversations before the festivities begin prevent last-minute stress and keep everyone on the same page. Planning ahead is one of the simplest ways to start the season with appreciation, clarity, and teamwork at the center of your home.

How to Have the Holiday Scheduling Conversation

The best way to plan ahead is to plan ahead to make plans to plan ahead! Start by scheduling a sit-down. If you already have monthly meetings with your nanny, this is a perfect topic to add to your next one. If not, this is a great time to start the habit! With a new year approaching, it is an excellent resolution for you to build together.

Find a quiet time when you can both focus without distractions (ha ha, if possible). Use this time to dive into important matters, like scheduling the holiday season. Begin with open questions such as, “How do you usually spend your holidays?” or “Do you have travel plans or goals you are hoping to fit in this year?” From there, you can move naturally into your own hopes and plans for the weeks ahead.  Bring out a calendar, either digital or paper, and walk through each week from Thanksgiving through New Year’s Day. Ask about your nanny’s travel plans, family traditions, or days they hope to take off. Be transparent about your own schedule as well. Will you be working the Friday after Thanksgiving?  Do you need childcare on Christmas-

Eve morning or the day after Christmas? Are there days when you might need extra support while school is out, or weekend coverage so you can shop, run errands, or attend events?

Also, stay mindful that your nanny likely has their own family traditions and responsibilities to manage. Many nannies have children of their own, so being understanding of their needs during the holidays helps maintain balance and mutual respect in your working relationship.

Remember, this conversation is not just about logistics. It is also a chance to show appreciation. Thank your nanny for their flexibility, ask what would make the holidays easier for them, and reassure them that their time and energy are valued. Acknowledging their effort goes a long way toward keeping the working relationship strong, especially during a busy season and the extra efforts made to keep the house and children operating smoothly.

Key Details to Review Together

Once you have looked at the calendar and discussed each other’s plans, it is time to go over the details that can make or break a smooth season. Clear logistics now prevent uncomfortable misunderstandings or conversations later and help you and your nanny feel secure about expectations.

Paid Holidays and Time Off
If your nanny’s contract already outlines paid holidays, review them together. Many families offer Thanksgiving Day, Christmas Day, and New Year’s Day as paid holidays, but not every arrangement is the same. Discuss the days that fall before and after, such as Black Friday, the Friday after Christmas, and New Year's Eve, and confirm whether these are regular workdays or additional days off.
Are these additional days paid?  Typically, if you request these days off in addition to the holiday, they should be paid to the nanny.  If you request that they be worked and the nanny requests them off, they may take PTO or go unpaid. This is why having these discussions now is so important, so all these details can be worked out.
If you don't have a written contract, now is a good time to establish these expectations in writing.  Payroll confusion around this time of year is one of the agency's most common conversations with nannies.  They are unsure how to communicate their needs and expectations. This will save you both confusion in the coming weeks and next year.
Adjusted Hours or School Break Coverage
With school closures and fluctuating work schedules, your childcare needs may look different during the holidays. Discuss whether you will need earlier start times, later days, or extra coverage when schools close. If your nanny agrees to additional hours that lead to overtime, ensure that you plan for overtime pay as required by California labor law.
Holiday Pay and Appreciation
Some families choose to give a holiday bonus, while others add small appreciation gifts. This does not need to be extravagant.  The goal is to show gratitude for a year of partnership.  We'll post later on ideas for gifts.  Hint: listen to them now for ideas.
Flexibility and Communication
We want to offer a friendly reminder that the holiday season can be unpredictable. Traffic, travel delays, last-minute school events, oh, and don't forget... It's flu season.  Stuff happens. Keeping an open line of communication and understanding of each other's lives ensures grace and compassion on both sides.

Final Thoughts

The holiday season has a way of testing even the most organized routines, but with a little foresight, it can unfold with calm and clarity. Taking time to plan ahead with your nanny ensures everyone understands what to expect and feels valued throughout the busy weeks ahead.

A thoughtful conversation now can prevent unnecessary stress later, supporting a stronger working relationship built on respect and clear communication. The more intentional your planning, the more space you create for your family and your nanny to enjoy the season fully.

From all of us at The Nanny Tribe, we wish you a peaceful, well-prepared, and joyful holiday season.
